Response Templates for COVID-19

We understand canceling or postponing due to sickness can be stressful, so we wanted to help by providing email templates you can send to patrons. Below you'll find templates for postponements and cancellations, along with instructions on how to mass message patrons. Feel free to edit the templates to fit your situation.

Postponement

After much discussion on how to best serve the cast/crews, audience and community of Ludus Studios amidst the COVID-19 crisis, we have decided to postpone our production of [INSERT SHOW TITLE BEFORE SENDING] to a later date.   As soon as we are able to take a breath and find a date that works best for most, we will send out an email to all of our patrons.  All tickets will be honored and exchanged for those dates.  If those dates do not work for you, a refund would be issued.  

We apologize for any inconvenience this date change may cause, but know that we are doing this for the best of our cast/crews and our patrons.  We hope you will join us at the later date!

Cancellation

After much discussion on how to best serve the cast/crews, audience and community of Ludus Studios amidst the COVID-19 crisis, we have decided to cancel our production of [INSERT SHOW TITLE BEFORE SENDING].  I assure you, this decision does not come easily.

Besides the loss of performance opportunity for our amazingly hard working cast/crews, our program will also take a heavy financial loss.  We rely on income from performances to continue doing the work that we do.  Please consider donating all or some of your ticket purchase back to our program. To do so, simply respond to this email and we will take the value of your tickets as a donation.  We truly value your support!  



Send out a mass message to patrons

Sending a mass message to patrons is easy:

  1. Go to your Events page and click the top Options button next to your show.
  2. In the dropdown, select Message.
  3. Enter an email subject and your message. If copied from above, simply paste into the message text area (CTRL + V on Windows, Command + V on Mac).
  4. Hit Send Message. A mass email will then be sent to all patrons who have purchased tickets to your show.

Allow patrons to donate tickets

Cancelling a show may be a huge financial loss to your program. We have a number of programs successfully giving the option for patrons to donate all or some of their tickets. One program has already received 10% of their ticket sales in donations.

If this is something you're interested in, the refunds feature allows you to mark tickets as donated and do partial order refunds.
