Joining & Adding Patrons to the Waitlist
When an event has sold out and the Waitlist feature is enabled, patrons will then have the ability to join that waitlist as needed. Additionally, the account admin can also add patrons to that waitlist via the admin site.
Patrons will be able to join the waitlist via the patron site as events and event times sell out. The following steps will show how they can join that waitlist and what information is collected when they join.
Once a patron arrives at your Ludus account and the event time they desire is sold out, they will see a similar image to below with the ability to Join Waitlist available next to the Sold Out notification.
Once they click on that Join Waitlist button, patrons will be asked their:
- First Name
- Last Name
- Email Address
- Phone Number
- How Many Tickets
When that information has been filled out, they can Confirm & Join the Waitlist.
After confirming, patrons will see a green check on the Ludus site and a Notice letting them know they have successfully joined the Waitlist for your event.
Additionally, they will receive an email confirmation and text to the number and email provided letting them know their spot has been reserved in the queue.
Please Note: When a patron chooses to enter the Waitlist, they will see the following note below the confirmation button: "By entering your contact information above, you agree to receive communication from Ludus regarding your waitlist status. You will receive an email and/or text message when your waitlist status changes. Message and data rates may apply. The recipient may reply HELP for support, STOP to opt out of text messages."
While patrons can add themselves to the Waitlist via the patron site, you might have a patron call the box office is require assistance with being added to it as well. In this case, you can add those patrons via your admin panel.
To add patrons to the Waitlist on your admin panel, you will want to:
Navigate to the Event and Event Time with the Waitlist. Once there, you will see the blue Waitlist button.
Select that button to progress forward and add the patron to the Waitlist.
Once on the Waitlist management page, you will be able to select + Add to Waitlist.
Once you click that button, you will be prompted to fill out the same information that is reflected when patrons request to join the Waitlist.
Just like on the patron site, when you add someone to the Waitlist, you will see the green check mark that they have been added (at the top) and the patron will receive a confirmation email.
