The Patron Database will provide you with a list of patrons and their corresponding information. By default, it will list all patrons in your database.

The Database allows you to:

  • Manage duplicate patron records
  • Import or Add Patrons. Suggested Article: Import Patrons to Ludus
  • Search for patrons
  • Display Patrons based on Tags
  • View All Patrons Or New ones based on the last purchase or Donation. (Past week, Past 30 or 60 days, or past year)
  • Display Patrons by Event purchased.
  • Print your filtered database report with only the columns selected
  • Export to CSV your filtered report with all available columns
  • Edit Columns add or remove columns from the report.

Edit Columns

The Edit Columns Button allows you to select which columns you wish to include in your patrons report, as well as the order in which those columns appear.

To add columns to the report click the checkbox next to wish to have present.

To remove columns you can either uncheck the boxes or click the Delete button next to the column on the Selected Columns list.

In the Selected Columns area, you can click and hold to drag and drop the columns into the order you would like to have the report displayed in. With the top being the first column and the bottom the last.

Click Apply to update the report.

View Specific types of Patron Reports

Using the instructions below you can pull different types of reports on Patrons.

  • Global Patrons Report - To pull an account-wide Patrons report, click Patrons (from the top navigation bar) --> Database
  • Event Patrons Report - To pull an event-specific Patrons report, click the Events tab from the top navigation bar. Then, click Reports --> Patrons next to the desired Event.
  • Collection Patrons Report - To pull a collection-specific Patrons report, click Collections --> Standard from the top navigation bar. Then, click Reports --> Patrons next to the desired Collection.
  • Class Patrons Report - To pull a class-specific Patrons report, click Collections --> Classes from the top navigation bar. Then, click Reports --> Patrons next to the desired Class.

Ludus Pro Tip: If you are viewing the Database Report, you can use the All Events drop-down menu to easily navigate to the patrons list for one or more specific events, classes, or collections.

Terms and Definitions on the Patrons Report

Each row on a Patron Report will represent a different patron. The columns will display whatever data you enable at the bottom of the page. See below for more details on each.

  • First Name, Last Name, Email, Company, Phone Number, Address, City, State, Zip Code - The general contact information for the patron.
  • Total Tickets - The total number of tickets the patron has purchased.
  • Total Add-Ons - The total number of add-ons the patron has purchased.
  • Total Passes - The total number of passes the patron has purchased.
  • Total Donations - The total number of individual donations a patron has made.
  • First Purchase - The date of the patron's first purchase.
  • Last Purchase - The date of the patron's most recent purchase.
  • First Donation - The date of the patron's first donation.
  • Last Donation - The date of the patron's most recent donation.
  • First Seen - The date the patron first entered your account. This could be from a patron upload or the first transaction they made such as a ticket purchase or donation.
  • Notes - The internal notes for a patron.
  • Accommodations - Any accessibility details that have been added to the patron's profile. Suggested Article: Collect accessibility notes during checkout
  • Tags - Any patron tags that have been added to a patron's profile. Add patron tags
  • Status - The marketing email subscription status for the patron. Subscribed or Unsubscribed.
  • Alumni Year - The alumni year associated with the patron (if applicable).
  • Household - The household to which the patron belongs.
