School district setup
Ludus is used by many school districts throughout the United States. Over time, we have discovered best practices for the best way for districts to utilize Ludus accounts.
Firstly, there are two ways we commonly see school districts use Ludus:
- One Ludus account is created as a single place to post all district events (typically managed by a head secretary, facilities manager, or team of school event admins).
- OR each school group and/or school creates their own Ludus account and manages them separately (typically managed by the group's teacher, a director, school secretary, or principal).
In this article, we'll highlight the key features that can make managing multiple events across various groups in a school district easy, as well as making it easy for parents and your community to find events.
Event Categories is a way to categorize your events into things like:
- Theatre
- Music
- Dance
- Student Activities
- Athletics
- Community Events
When patrons visit your Ludus ticketing page, they'll see category pills at the top of the page allowing them to filter down the list to find what they're interested in.

In Ludus, there are two ways you can receive payout for events: a lump sum paper check after the event or direct deposits.
For school districts that have multiple groups and accounts for depositing funds, we typically recommend the paper check route.
The main benefit of paper checks: you can set up as many paper check payout methods as you'd like, so if you want one event's proceeds to be made out to "Music Boosters" and another to be made out to "Student Activity Fund", you can do so. All you have to do is assign the correct payout method to the event and Ludus will handle the dispursement.
Every check comes with a reconciliation report so you can match it up with event ticket sales.
Some school districts have a single account and require all checks be made out the same to the same place and that also works in Ludus.
If you prefer direct deposits, these can be made daily, weekly, or monthly. We can also enable lump sum direct deposits upon request. Note: direct deposits can only go to a single bank account and cannot be sent to different bank accounts per event, unlike paper checks.
