Ticket Prices

When adding an event, you will immediately be brought to the ticket price management screen as part of the creation process. If you skip this step, a red banner will appear beneath your event, notifying you that you need to add ticket prices before you can go live with your event.

Events can have as many ticket prices and pricing levels as needed. You can be as straightforward or as complex as needed with your ticket prices. For example, you can have an event with a $20 Adult ticket and a $10 Student ticket, while another event can have multiple tiers of ticket prices, with each tier having different levels of ticket prices.

Add a new ticket price

To create a new ticket price, go to Pricing -> Ticket Prices next to your event and click the + Ticket Price button.

Options & Terms

Name The name of the ticket price that is displayed to the patron, on tickets, and in reports. Typically, something like “Adult,” “Student,” “Reserved Seating,” “VIP,” etc. Try to keep your ticket price name short and sweet — additional context and information can be added to the description field.

Price The dollar amount of the ticket price. (Note: The price cannot be edited once a ticket at a set price point has been sold. If you want to change the price of a ticket after a ticket at the initial price point has been sold, you can create a new ticket with the updated price.)

Allow patron to enter a custom price Checking this will allow the patron to enter a custom amount for their ticket. Typically used for “Name your own price” or “Pay what you can” events. When checked, you can set the minimum amount a patron must pay for their ticket — you can set $0 so they don't have to pay anything but can if they choose, or you can set a higher minimum and allow people to pay more if they prefer. Description An optional description of the ticket price for the patron to read (appears in an “i” icon next to the price for general admission and the price dropdown for reserved seating).

Example: Students must bring I.D. — I.D.'s will be verified at the door.

Assignment Used to set a price to apply either to All event times (default) or Specific event times.

By default, ticket prices apply to all event times for an event unless specifically specified, meaning you can create a single ticket price for all event times without having to do this process for each event time.

If you want a special price for a specific night (i.e., Senior Night or Opening Night), you can assign the price to an event time by clicking "Specific event times."

Limit Per Patron The limit to how many of that ticket price a single patron can purchase. i.e., they are limited to 2 VIP tickets due to limited room. Based on the patron’s email address.

Tiered Ticket A ticket price can be assigned to different tiered seating colors on a seating chart. Set up Tiered or Premium Reserved Seating

Access

  • Everyone — Listed publicly; all patrons can select and purchase if the ticket price is available for sale.
  • Admin Only — Available only to admins when selling tickets via the admin panel (will not be listed publicly)
  • Pass Holders — Only those with a flex pass or membership can unlock this price by signing in (will only be viewable by pass holders; the general public will not see this price).

Custom Fees If you enable the Custom Fees feature, you can assign "Ticket-Level" Custom Fees to the individual price.



--Advanced Options--

Total Inventory When a specific ticket price can only have X number sold — i.e., 100 seats in the VIP section. This typically does not need to be set unless there’s a specific use case.

Ludus will automatically keep track of inventory for reserved seating events, so setting a “Total Inventory” would add an additional limit and is rarely needed.

Special Passcode This adds an “Enter special passcode” button to the patron side when selecting tickets, unlocking any prices requiring a passcode.

If a passcode is set on a ticket, it will not be listed or displayed to patrons unless they enter a valid passcode. Suggested Article: Setup Password Protect Pricing

If every ticket price has a passcode set for an event, the patron will first be prompted with a “Passcode” popup when selecting tickets, which will require them to enter a valid passcode before proceeding, basically locking the event unless someone has a ticket passcode.

Disable Transfers If you have "Ticket Transfers" enabled on the event, you can mark specific ticket prices as unavailable to transfer to other patrons.

Example: You have an admin-only VIP ticket price you give out to select individuals, and you don't want them to be able to transfer that ticket to an entirely new patron. "Disable Transfers" will disable the transfer capability on the VIP ticket price, while your other general prices can be transferred.

Form Attach a form to a ticket price. When the ticket price is selected, the patron must fill out the form for each ticket they select. Learn more: Forms

Availability This is used for automation, like automatically turning ticket prices on or off after specific times or once another price is no longer available (like Early Bird prices).

  • Sale Starts
    • When the event goes live (default)
      • Ticket price is immediately available for sale when the event is turned on.
    • On a specific date/time
      • Ticket price becomes available on a set date & time.
    • When sales end for another price
      • Ticket price becomes available when another price is no longer available (sold out, inventory hit, or date & time sales end is hit)
  • Sale Ends
    • Never or until sold out (default)
      • Ticket price never shuts off (if you have a total inventory set, the event will still be "on" when the inventory runs out, but patrons will not be able to buy tickets)
    • On a specific date/time
      • The ticket price shuts off on a set date & time.

Tax Exempt If you have sales tax enabled on your account and this specific ticket price is tax-exempt, check this option, and patrons will not be charged sales tax for that price.
