In this article, we'll review some best practices we suggest for operating your Ludus account. These are tips and tricks we've learned over the years that many programs have found useful:

Refunds/exchange policy

Notifying patrons of your refund/exchange policy can be extremely helpful for the smooth operation of ticketing your events. This makes patrons aware of your policy and provides contact information if they need assistance with a refund/exchange if you choose to do so.

Walk through the patron purchase process

Walking through the patron purchase process before you go live with ticket sales helps admins better prepare for questions patrons may have while purchasing tickets.

Visit the patron side of your Ludus site by clicking the green link at the bottom of your Ludus admin page.

If your event is not yet set to "On", you can go to Options -> Share -> and get the "Private Share Link" to preview the event before it goes live.

Utilize Box Office View Day-of-Event

Within your Ludus admin panel, in the Options dropdown next to an event time, we offer the Box Office View, which can be used for quick walk-up sales. The Box Office View offers a quick checkout process and allows you to complete credit, cash, and comp sales (similar to the New Order sales process). This can be helpful with in-person box office sales as it's one-screen and doesn't require you to click through multiple steps, allowing for super-fast sales.

Utilize printables

Printables allow you to print your patron ticket sheet and blank tickets for each event time. This allows you to operate your box office offline, or more quickly when handling ticket sales at the door.

To access Printables, go to the Options dropdown next to your event time --> and click Printables.

Difference between refunding and releasing tickets

Refunding and releasing tickets are both useful tools, but it's important to know the differences and advantages of each.

A refund is handing the money back to the patron and putting the ticket back into the system. This is useful when patrons reach out prior to the event requesting a refund.

A release is mainly used for nights of events where you need to re-sell tickets in case a patron doesn't attend or if they donate tickets back. This will release the ticket back into the system making it available again, but will not refund the money.

Exchanges are easy

The exchange tool allows you to:

  • Move tickets from one event time to another
  • Move a patron's seats
  • Change a patron's price type such as from an adult ticket to a student ticket. The difference will automatically be refunded, or if upgrading, it'll allow you to collect the difference.
