Partial Payments to Invoices

admins may process partial payments towards an invoice balance these payments can be made via all payment methods that you accept note partial payments are only an option for admins to process patrons cannot elect to make a partial payment online click the settings (⚙️) icon on the top navigation bar, and then select the general page scroll down to the invoice section to turn on invoices partial payments are automatically turned on next, set who you want to handle the partial payment fee the options are to pass on or absorb the fee ($1 00 for each partial payment paid by credit card accepting a partial payment on an invoice navigate to more , on the top navigation, and select invoicing locate the invoice needed and click view when the invoice opens select the collect payment button a pop up window will appear here you can select the payment amount as partial or full enter the payment method set the amount (partial or full) see the remaining amount of the invoice as well as the fee for partial payment you can take multiple partial payments towards an invoice following these steps patrons will be sent an email with the new balance due after each partial or full payment is recorded fees for partial payments there is no change to the ludus fee for partial payment however there is a new fee of $1 00 for each partial payment of an invoice that is processed by credit card there are no fees for partial payments made by cash or "other" payment types the overall ludus fee is charged based on the balance due at the time of a credit card payment example a invoice a has a total of $30 00 due before any fees are applied if paid in full with a credit card, fees = $3 00 (5% and $0 75 per item on the example account ) if a partial payment of $15 was made in cash the new total due is now $15 00 with the standard ludus fees totaling $1 50 if paid by credit card (5% of $15 plus the $1 50 in per item fees) the invoice fee would add $1 00 to the total for a total of $17 50 no fee would apply if the final payment was paid in cash or "other" methods example b a class costs $200 00 if paid in full via credit card this total would qualify for macro fees totaling $7 50 (3 5% + $0 50 per item for collections/classes only) if a partial payment is made towards that total the fee would change from being a macro fee, to a standard ludus fee (5% + $0 75 per item, on this example account) should the next or final payment be made via credit card in this image you can see that the partial payment has brought the total due down to $150 00 so at this point the standard ludus fee will apply note the examples shown of $ 75 per item shown is the flat per item rate for this specific account, your account per item fee may differ depending on the premium add on features you are using to locate your per item fee, click the settings (gear icon) on the top navigation bar, then select fees there will be a breakdown of your fees and features shown
